Who we are

Acquita Accountants collects and uses personal information to provide accounting, tax and related business services.

This policy explains what information we collect, why we collect it, how we keep it secure, and what you can do if you want to access or correct your information or make a complaint.

What information we collect

The personal information we collect will depend on the work we are doing for you. It may include:

  • your name, address, phone number and email address;
  • details such as financial, taxation and other information relevant to the services we provide, including tax file number information where required;
  • Identification information used to confirm your identity where needed; and
  • Records of emails, letters, file notes and other communications with you.

We only collect information that we reasonably need for our work or that we are required to collect by law.

How we collect and hold information

We usually collect personal information directly from you or from someone you have authorised to deal with us on your behalf. We may collect it through meetings, phone calls, emails, engagement documents, client forms, secure document requests and the software we use to do our work.

We hold information in electronic files, email systems, cloud-based systems, accounting software, practice software, document storage systems and, in some cases, paper files.

Why we use information

We collect, hold, use and disclose personal information so we can:

  • provide accounting, taxation, bookkeeping, advisory and related services;
  • prepare tax returns, activity statements, accounts and related work;
  • communicate with you and people you authorise;
  • manage our engagement with you, including billing and file administration;
  • meet our legal, regulatory and professional obligations; and
  • protect our practice, staff and clients from fraud, error and other risks.

Who we share information with

We may share personal information with:

  • our staff where they need it to do their work;
  • people you authorise us to deal with;
  • superannuation fund auditors and other professional advisers involved in your matter, where appropriate;
  • software providers we use to run the practice, such as Microsoft services, SharePoint, LodgeiT and QuickBooks; and
  • the ATO, AUSTRAC, ASIC or other government bodies where we are required or authorised to do so by law.

 

We do not outsource services overseas and do not currently intend to disclose personal information to overseas recipients.

We use cloud software and backup systems. At present, we have not confirmed the storage settings for every platform we use. If we identify that personal information is likely to be disclosed overseas through one of our providers, we will update this policy.

How we protect information

We take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification and disclosure. These steps may include suitable physical, electronic and managerial procedures to safeguard and secure the information we collect.
